Understanding the Microsoft Outlook integration

Scheduling interviews can be even easier—Beeline Enterprise offers a seamless integration with Microsoft Outlook 365. As an Interview Coordinator, you can instantly view real-time suggested interview times that fit the attendees’ schedules. Real-time API calls automatically check attendees’ availability, so proposed interview times align with attendees’ schedules.

 

Schedule recommendations are based only on the availability of client attendees as reflected in their calendars. The availability of supplier attendees is not considered.

Here are the criteria used to generate the top five best schedule recommendations.

  1. Availability of all client attendees 2, 3, or 4 weeks out from the date you specify when scheduling an interview.
  2. Availability of most client attendees 2, 3, or 4 weeks out from the date you specify when scheduling an interview.

When a schedule recommendation can’t be found based on the preceding criteria, you'll see a message prompting you to manually add a timeslot.

 

Preparing for your Microsoft Outlook integration

Using Beeline’s Microsoft Outlook integration with Interview Manager requires some preparation on your part and a Service Request ticket. In addition, you must be using Outlook with Microsoft Cloud.

Your system administrator must complete these tasks so they can provide Beeline with the appropriate credentials.

Task
  1. Register the Beeline Calendaring Service with Microsoft Azure.
    This allows Beeline’s application to use Microsoft’s identity and access management (IAM) features.
  1. Grant Calendars.ReadBasic.All permission to the Calendaring Service.
    That permission allows the Calendaring Service to read calendar events without a signed-in user in all mailboxes.


     

    These items are excluded from the read permission: email body, attachments, and extensions.
     
  1. Obtain your Application (client) ID and your OAuth 2.0 token endpoint.
  1. Obtain your Client Secret.
  1. Obtain your UserPrincipalName (UPN).
    That is your Internet-style login name based on the Internet standard RFC 822.

Your system administrator can set up multiple subscription entries for their organization so you can integrate with multiple email domains. For example, johnsmith@zcompany_eu.com and janejohnson@zcompany_asia.com.

The domain is extracted from the UPN as part of a single subscription entry.
