The Hiring Manager Experience is a tailored, efficient and modern user experience designed exclusively for Hiring Managers. Program office users and hiring managers often ask questions about features and functions in the Hiring Manager Experience. Find answers to those frequently asked questions here.

Will email notifications received by a Hiring Manager and Approver take the user to the Hiring Manager Experience so they can approve an assignment?

Yes. Links in Approval emails take the hiring manager to the Home page in the Hiring Manager Experience.

 

Banner Messages

Can Banner Messages be added to the Hiring Manager Experience Home page?

Yes. Critical messages from your organization or Beeline display as a banner across the top of Beeline Classic and the Hiring Manager Experience so you can be confident users are informed.

Program Office users can manage Banner Messages via Self-Service from Preferences > VMS Settings > Client Communications.

 

Beeline Classic/Hiring Manager Experience Default

Can we change the default setting for users back to Beeline Classic if we need to? Or will Hiring Managers have to keep toggling to Beeline Classic? Will Enterprise remember which view they had previously toggled to?

Hiring managers can use the Go to Classic link if they prefer to complete their work in Beeline Classic. When a hiring manager uses the Go to Classic link, they are prompted every 90 days to provide their feedback, which Beeline will use to influence future enhancements.

 

How long will Beeline Classic be available?

Currently, Beeline doesn’t plan to deprecate or retire Beeline Classic for hiring managers. If doing that becomes a priority, you will receive advanced communications and tools to help you manage that change.

 

Customization

Can we configure which apps and features are available from the Hiring Manager Experience? 

Yes. You can open a Make a Change ticket and request to globally hide specific apps or individual Alerts on the Home page. If your program has questions on features available in the Hiring Manager Experience, follow your usual process for submitting a JIRA Support ticket.

 

Can we hide financials?

Yes. You can open a Make a Change ticket and request to globally hide bill rate data based on your site permissions.

 

We have some bespoke configurations for a client. Will that be mapped to the Hiring Manager Experience?

Please provide an example of your bespoke configuration to your Client Operations Manager (COM) so that Beeline can provide the best answer. If your program has questions on features and specific customization available in the Hiring Manager Experience, follow your usual process for submitting a JIRA Support ticket.

 

All Hiring Manager Experience apps include a Feedback button at the right of the page. Hiring managers can select the button and provide feedback that is routed directly to Beeline’s Product Strategy and Development teams. Submitted feedback is reviewed weekly and will help shape Beeline's roadmap and Hiring Manager Experience enhancements.

 

Can we brand the Hiring Manager Experience? For example, we can add our logo like we can to the Beeline Classic platform.

Yes. Branding options such as uploading your logo and overriding field labels are available via self-service. Select PreferencesVMS Settings > Client Communications.

 

Does the Hiring Manager Experience has features to accommodate accessibility?

Yes! Check out the UserWay® Accessibility Widget. That feature is available throughout Beeline Enterprise, making it easy for you to personalize your Enterprise interactions.

 

Delegations

As a hiring manager, I’ve designated other users as delegates. Is delegation supported in the Hiring Manager Experience?

Yes. As a hiring manager, you can manage delegates by selecting Manage Preferences from your Avatar icon near the upper right corner of the Hiring Manager Experience.

 

If a Hiring Manager needs to delegate/impersonate another Hiring Manager, do they need to toggle back to Beeline Classic to do so?

Hiring managers can manage delegates by selecting Manage Preferences from their Avatar icon near the upper right corner of the Hiring Manager Experience. If the hiring manager designates another hiring manager as their delegate, that user can see the delegated tasks in the Hiring Manager Experience.

In addition, hiring managers can access crucial information for all the work they manage from the My Data app. They can easily view data for which they’re the direct hiring manager, SOW owner or project manager. Plus, they might also see data delegated to them, data assigned to their subordinates, and data for which they’re a requestor, a timesheet approver, a sponsor, or a contributor. 

The My Data app puts a lot of data at a hiring manager’s fingertips, and they can easily choose exactly what data they want to view. Check out this article to learn more about visibility and the My Data app.

Users can continue to impersonate a hiring manager from Beeline Classic as they currently do today. Beeline’s enhanced authentication and authorization prevent users from impersonating a hiring manager and logging in to the Hiring Manager Experience.

 

Feedback

How can Hiring Managers give feedback on their Hiring Manager Experience?

All apps include a Feedback button at the right of the page. Hiring managers can select the button and provide feedback that is routed directly to Beeline’s Product Strategy and Development teams. Submitted feedback is reviewed weekly.

 

Can we get a copy of the feedback provided by our Hiring Managers so we can keep track of issues?

Yes. Reach out to your Client Operations Manager to request a copy of the feedback submitted from your organization.

 

Is feedback submitted from a Test environment reviewed or only feedback submitted from Production environments?

Beeline’s Product Strategy and Development teams weekly review feedback submitted only from Production environments. Please submit feedback from a Test environment using one of these options:

  • The Hiring Manager Experience Feedback button in a Beeline Production environment
  • The Beeline Community
  • Contact your Client Operations Manager

 

Guide Me

Will Enterprise’s Guide Me feature be supported in the Hiring Manager Experience?

Yes! Guide Me was added to the Hiring Manager Experience August 25, 2022.

Your organization’s Guide Me interface is available from the Create app. Hiring Managers using the Create app can launch the same Guide Me available to them from Beeline Classic.

Guide Me in the Hiring Manager Experience requires a Make a Change ticket only if your organization isn’t already using Guide Me in your Beeline platform.

 

Guided Tour

Does the Guided Tour only work for Clients who have Guided Tour turned on? If we don't have Guided Tour turned on, can users still get to it?

The Guided Tour in the Hiring Manager Experience is automatically available to users from Hiring Manager Help. Additional set up is not required. Hiring Manager can select the Help icon in the upper right corner of the Hiring Manager Experience and launch the in-app Guided Tour any time they like.

 

Impersonation

What is impersonation?

Impersonation grants a user the right to “proxy” as a different user and gives the user the authority to act on the other user’s behalf.

Users can use the Impersonation feature to act and view data as another user only from Beeline Classic. Audit logs show which approvals were completed by the proxy and the date when the action occurred.

 

Why is impersonation not available in the Hiring Manager Experience?

Users can continue to impersonate a hiring manager from Beeline Classic as they currently do today. However, Beeline’s enhanced authentication and authorization prevent users from impersonating a hiring manager and logging in to the Hiring Manager Experience.

Beeline will continue to evolve how it solves your business problems where impersonation was once used and create enhanced solutions to meet your needs.

Can the program office team impersonate hiring managers in the Hiring Manager Experience?

Program office users can still impersonate a hiring manager from Beeline Classic as they currently do today.

However, impersonation is not supported for any role or persona in the Hiring Manager Experience.

 

Our program allows program office users to employ impersonation to act as another user. For example, to schedule interviews, extend assignments, etc. Is this still possible?

Program office users can still impersonate a hiring manager from Beeline Classic, and complete tasks such as scheduling interviews, extending assignments, and more, just as they do today.

 

As a program office user, can I impersonate a hiring manager while the manager is actively using the Hiring Manager Experience? Or does the hiring manager need to log out of the Hiring Manager Experience or go to Classic before I can impersonate them?

As a program office user, you can impersonate a hiring manager while the manager is actively using the Hiring Manager Experience.

You must be in Beeline Classic to impersonate the hiring manager, but the manager can be actively logged in to and using the Hiring Manager Experience while you’re impersonating them in Beeline Classic.

 

How can the program office test workflow changes in the Hiring Manager Experience?

Program office users can take ownership of the workflow step in Beeline Classic to verify the workflow is working as expected in the Hiring Manager Experience.

 

Are there plans to offer the Hiring Manager Experience when using the impersonation feature?

Beeline will continue to evolve how it solves your business problems where impersonation was once used and create enhanced solutions to meet your needs.

 

When will impersonation be going away in Beeline Classic?

Currently, Beeline doesn’t plan to deprecate or retire impersonation in Beeline Classic. Impersonation is supported in the Beeline Classic platform.

 

Mobile/Beeline app

Is the Hiring Manager Experience an app, the Beeline app or a webpage on a mobile browser?

The Hiring Manager Experience apps are mobile responsive, which means they’re designed to run inside any supported web browser.

Hiring managers can access the Hiring Manager Experience from their mobile devices or tablets without having to download anything from an app store.

 

How do approvals look for the mobile version?

Hiring managers can view time and expense approvals from the Approvals app in the Hiring Manager Experience in any supported web browser from their mobile device or tablet. To learn more about the mobile experience, go to this Hiring Manager Experience: Mobile quick start guide.

 

Password Resets

How are password reset emails generated in project sites set up with the Hiring Manager Experience and are they visible from Admin > Notifications in Beeline Enterprise?

The Hiring Manager Experience uses Enterprise’s enhanced authentication and authorization. Password reset emails are not visible from Admin > Notifications in Enterprise. Password reset emails are sent directly to the email associated with the user’s Beeline profile.

 

Program Office Access

Can admin level roles, MSPs or PMOs use the Hiring Manager Experience?

The Hiring Manager Experience is specifically designed for hiring managers. But program managers can access the Hiring Manager Experience and take the in-app Guided Tour to familiarize themselves and help educate hiring managers.

 

Where are the admin functions in the Hiring Manager Experience?

The Hiring Manager Experience is specifically designed for Hiring Managers. Those responsible for managing the program can continue to use Beeline Classic to perform administrative tasks

 

Session Timeouts

How do session timeouts work in the Hiring Manager Experience?

Session timeouts in the Hiring Manager Experience work the same as they do in Beeline Classic. Settings for session timeouts are based on your configuration for your Beeline platform.

A dialog box displays alerting users their Hiring Manager Experience session is about to expire. When a user doesn’t extend the Hiring Manager Experience session, they’re automatically logged out of the Hiring Manager Experience and Beeline Classic.

 

Support

Is there a support team hiring managers can reach out to if they have questions or need assistance with the Hiring Manager Experience? If yes, what is the response time?

Beeline Support is available 24/7. Beeline’s Client Support team strives to delight Clients and Partners every day by ensuring expectations are met or exceeded according to Beeline’s service-level agreements.

Beeline recommends following your standard support model for requesting assistance with your Beeline platform. Whether that is reaching out to your program office first or to Beeline support directly by submitting a JIRA Support ticket.

 

Training

As a program office, how can I create training material for my hiring managers?

To speed user adoption, facilitate learning and decrease reliance on your program team, a simple convenient self-directed training module is available to new and existing Hiring Managers.

Hiring Managers can launch the Hiring Manager Experience Training from the Help menu in the Hiring Manager Experience. Plus, they can use the Hiring Manager Experience - the basics guide to learn more

 

If we cannot proxy in to the Hiring Manager Experience to update our guides, can we have hiring manger profiles created for the PMO in a test site?

The Hiring Manager Experience is specifically designed for hiring managers. But program managers can access the Hiring Manager Experience and take the in-app Guided Tour to familiarize themselves and help educate hiring managers.

To speed user adoption, facilitate learning and decrease reliance on your program team, a simple convenient self‑directed training module is available to new and existing hiring managers. Hiring managers can launch the Hiring Manager Experience Training from the Help menu in the Hiring Manager Experience.

 

Is the Hiring Manager Experience available and turned on in test sites? We understand we can't proxy as a hiring manager in test to check how this functions and we need to update our guides.

If your program has migrated to Auth0 and you've refreshed your test site after that migration, the Hiring Manager Experience is automatically available in your test site.

In addition, Program Office users can create a test Hiring Manager user profile and stage data in a test environment so they can update their guides and job aids. Or leverage Beeline's Hiring Manager Experience Training for screenshots.

 

Does a user need to have access to the Beeline Community to view the Hiring Manager Experience and other videos?

The Hiring Manager Experience Training, Client-specific aids and guides and other Beeline Help documentation and videos are available from the Help menu in the Hiring Manager Experience. The same content previously available to your users from Beeline Classic Help is available from the Help menu in the Hiring Manager Experience. Beeline Community access isn’t required.
