Standardize event reasons globally

Tracking and reporting the progress of assignments is crucial to the success of your contingent workforce program. Knowing the status of assignments helps you align to budgets, reduce excessive spend, lower compliance risks, and much more.

When an assignment is changed, an event reason is associated with the modification. You can manage event reasons using the Assignment Event Reasons feature. Managing assignment event reasons via Self-Service lets you group changes completed on assignments regardless of the type of change, such as amendments, early terminations, and more.

Main benefits

  • Standardize event reasons globally.
  • Create reasons specific to an industry or labor category.
  • Localize event reasons to support a global program.
  • Gather analytics and trends on the types of changes common to your contingent workforce program. Then use the data to define policies or business workflows to ensure your program is on target with your Service Level Agreements (SLAs).
  • Get the tracking and reporting visibility you need for success.

Creating assignment event reasons

Using the Assignment Event Reasons feature, you can complete these tasks.

  • Create business-specific event codes and explanations for assignment changes.
  • Include localized text for global locations in your organization.
  • Tag an event reason as Favorable so your users understand the change occurred for a positive reason. For example, you might create an Event Reason for Early Termination on a project completed ahead of schedule and tag it as Favorable. As opposed to an Early Termination due to poor performance.
  • Manage events by making a reason active or inactivate.

To manage assignment event reasons, complete these steps from your Enterprise dashboard.

  1. Select Preferences > VMS Settings > Assignment Event Reasons. An Assignment Event Reasons page displays.
  2. Select Add New. An Add Event Reason page displays.
  3. Optional: Take one of these actions.
  • To create a business-specific event reason, select specific labor categories or lines of business to which the reason applies from the Industry list.
    OR
  • To create a standardized global event reason, do not select any labor categories or lines of business from the Industry list.
  1. From the Event Type list, select the assignment modification to which the reason applies.
  2. Optional: If your organization supports multiple locales, select the Enable Self-Service Culture checkbox. The Add Event Reason page refreshes. Next, select Add Item. Then select the locale for which you want to add a translated value from the Culture list. Next, enter the current label in the Terminology Default Value field. Then add any value you want to use instead of the default label in the Terminology Override Value field.
  3. In the Code field, enter an acronym for the name.
  4. Optional: In the Description field, describe which assignment changes the event reason applies to.
  5. Optional: Select the Favorable checkbox so your users understand the change occurred for a positive reason. For example, you might create an event reason for Early Termination on a project completed ahead of schedule and tag it as Favorable. As opposed to an Early Termination due to poor performance.
  6. Optional: Make sure the Active checkbox is selected. If it’s not, the reason isn’t visible to your users.
  7. Select OK.

The event reasons you created are available to users in your organization.
