Efficiently manage related engagements (Competitive Bids/Bids/SOWs/Projects) under a single initiative.

Sometimes, you may need to manage related engagements under a single initiative that doesn’t align with your company’s business structure and hierarchy. Using the Master Hierarchy feature, you can group projects under a single initiative and define your own hierarchies. With Master Hierarchy, you can efficiently track and report on collections of project events and activities and have a holistic view of spend and budget.

For example, you may be planning several Marketing projects for the upcoming year, and you need to easily manage their overall annual budget and group them by year. You can create a YYYY Marketing Master Hierarchy for your region and add the relevant competitive bids, bids, statements of work, and project engagements. You can even create and enforce a master budget.

Main benefits

  • Group projects under a single company initiative.
  • Gain visibility into spend and budget management for multiple project activities from a consolidated dashboard.
  • Limit master hierarchy visibility to identified stakeholders, the user who created it and financial approvers required for budget amendments.
  • Analyze multiple projects under a single master hierarchy using the Master Hierarchy ad hoc report.

Manage these activities with a master hierarchy

Here is some of the work you can administer using master hierarchy.

  • View aggregated activities in one location, such as the number of active projects, current supplier spend and planned supplier spend.
  • Ensure awareness by requiring approval before a master hierarchy is created or amended.
  • Link engagements: competitive bids, SOWs and projects.
  • Enforce an integrated budget.
  • Link multiple cost centers to a master hierarchy.
  • Capture a master purchase order.
  • Search for master hierarchies or engagements.
  • Report on a master hierarchy and sub-budgets for linked engagements.

Persona

Clients and program office users. Only client and program office users within a program’s organizational unit can administer master hierarchies.

Action required

Using the Master Hierarchy feature requires a Make a Change ticket and Beeline Enterprise configuration. Your Client Operations Manager (COM) must also grant permissions to applicable users to manage master hierarchies for your organization.

TIP:  You cannot use the Master Hierarchy feature and the Master Project feature.
