Create reusable request configurations that help users submit consistent, compliant workforce requests

A request template is a predefined combination of procurement settings used when creating workforce requests. Request templates bring together related configuration components, such as Job Classes, Job Titles, Rate Card Classes, Rate Cards, and supplier information, into a single reusable structure.

Request templates help reduce manual setup, support consistent request creation, and promote alignment with established procurement processes.

Why it matters

  • Supports consistent workforce request creation.

  • Reduces manual configuration during the request process.

  • Helps ensure approved procurement structures are used.

  • Promotes standardization across workforce programs.

Who it's for

  • Program Office users
  • System Admins

How it helps

  • Create reusable request configurations.
  • Associate related procurement structures.
  • Streamline workforce request creation.
  • Support consistent request management.

How it works

Request Templates are built on the procurement structure established through:

  • Job Classes
  • Job Titles
  • Rate Card Classes

A Request Template can also include:

  • Job descriptions
  • Industry experience requirements
  • Certifications
  • Conditions and tests
  • Skills
  • Background checks
  • Supplier associations
  • Instructions
  • Attachments

When users create requests, the template provides a predefined starting point for those configurations.

Important behavior

  • Verify that the Job Class, Job Title, and Rate Card Class records are active before creating a Request Template.
  • Available drop-down options depend on selections made in preceding fields.
  • Complete template fields from the top of the page down.
  • Request Templates can be generic or supplier-specific.
  • Create a separate configuration entry for each background check requirement.

Additional considerations

  • Review existing Request Templates before creating a new one.
  • Use descriptive names and job descriptions.
  • Periodically review supplier associations and qualification requirements.
  • Determine whether the template should be available to all suppliers or only selected suppliers.

Availability and setup

  • Access to Admin > Procurement is required.
  • Applicable Job Classes, Job Titles, and Rate Card Classes must already exist and be active.

Before you begin

  • Verify that the Job Class, Job Title, and Rate Card Class records are active.
  • Determine whether the template should be generic or supplier-specific.
  • Gather any job descriptions, qualifications, supplier associations, and supporting documentation required for the template.
