Create clear, consistent job titles that make positions easier to identify and request

A job title represents a specific position within a job class. Job titles define the positions your organization procures and are used throughout requests, rate configuration, and request templates.

After a job title is created, it can be associated with rate card classes, rate cards, and request templates.

Job titles are typically imported during implementation. As business needs evolve, new job titles may need to be created to support organizational changes and workforce requirements.

Why it matters

  • Job titles help maintain a consistent workforce structure.
  • Job titles support procurement processes and workforce classification.
  • Accurate job titles help align workforce data with business requirements.

Who it's for

  • Program Office users
  • System Admins

How it helps

  • Add new job titles to an existing job class.
  • Maintain job title records within an Industry.
  • Support request creation and related procurement activities.

Availability and setup

  • Access to Admin > Procurement is required.
  • The appropriate Procurement Geography, Industry, and Job Class must already exist.

Before you begin

  • Determine the Job Class that will contain the new job title.
  • Identify the job title name.
  • Review any organizational naming standards for job titles.

Create a job title

Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.

  1. Select Admin > Procurement. The Procurement Administration page displays.
  2. From the left Navigation, expand the Procurement Geography folder.
  3. Expand the Procurement Geography folder.
  4. Locate and expand the applicable geographic location.
  5. Locate and expand the applicable Industry.
  6. Expand the Job Classes folder.
  7. Select the applicable Job Class.
  8. From the left Navigation, select Job Titles. The Job Title page displays.
  9. Select Add New. The Add Job Title page displays.
  10. In the Name field, enter the name of the position.

Why this matters: The source recommends using a similar naming convention throughout the same Industry.

  11. Repeat the position name in the Code field.

TIP: Copy the text entered in the Name field and remove all spaces and punctuation or diacritics (special marks added to letters, such as é, ñ, ü, and ç). Initial capitals for all words in the text string make it easier to identify labels in lists and reports.
What this does: Creates the code associated with the job title.

Why this matters: The source recommends using a consistent format that is easy to identify in lists and reports.

In simple terms: You're creating a system-friendly version of the job title name.

  12. Select Is Active.
  13. Copy the Code field entry and paste it into the Position Code field.

Why this matters: The procedure specifically instructs you to use the Code value as the Position Code.

  14. Select OK to save and exit.

    OR

Select Save and Add New to create multiple job titles during the same session.

Result

The job title is saved and associated with the selected job class.

What's next

After creating a job title, you may want to:

  • Add a Rate Card Class.
  • Create or update Rate Cards.
  • Create or update Request Templates that use the new job title.
