Logging in with MFA to Beeline Enterprise

Before you start: This article applies to users who log in with a Beeline Identity (email and password). If your organization uses single sign-on (SSO), follow your company’s login process. See Logging in to Beeline Enterprise.


Verify your identity and keep your account secure

Multifactor authentication (MFA) adds an extra layer of security to your Beeline Enterprise login. After you enter your email address and password, you'll verify your identity using a one-time code or another verification method.

During setup, you'll connect an authenticator app to your account. You only need to complete MFA setup once. After that, you'll use a verification code during sign-in to help protect your account and data.

Why it matters

  • Protects your Beeline account with an added identity check.
  • Keeps your work and data secure even if your password is exposed.
  • Reduces the risk of unauthorized access.
  • Ensures you can still log in using backup verification methods.

Who it’s for

  • Users accessing Beeline Enterprise VMS (clients, suppliers, contractors, program users)
  • Users whose organizations require MFA
  • Users logging in with a Beeline Identity (not SSO)
  • Users replacing a phone or recovering access to an account

How it helps

  • Adds a second layer of security during sign-in
  • Helps protect your account from unauthorized access
  • Provides backup verification options when your primary method isn't available
  • Allows you to securely access Beeline Enterprise from trusted devices

Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.

Setting up MFA

To complete MFA setup, you'll need an authenticator app. Common authenticator apps include:

  • Microsoft® Authenticator
  • Google® Authenticator
  • Twilio Authy®
  • Cisco Duo® (Duo Mobile)
  • LastPass® Authenticator
  • Other apps that support standard time-based one-time passwords (TOTP)

Authenticator apps generate a temporary 6-digit verification code that you'll use during setup and sign-in.

Follow these steps from any supported browser the first time you log in. You only need to complete this once.

  1. Start at the Log in to Beeline page and enter your email and password.

    What this does: Starts the login process

    Why this matters: MFA setup begins after you successfully sign in.

     

  2. When the Secure your account page displays, open your authenticator app.

    What this does: Prepares your device for MFA setup.

    Why this matters: You'll use the app to connect your account and generate verification codes.

     

  3. Connect your account using one of these options: Scan a QR code or use a manual setup key.

    What this does: Links your account to your app.

    Why this matters: Enables your app to generate login codes.

    Scan the QR code
    1. If you’re using two devices, open your authenticator app.
    2. Scan the QR code displayed on screen.
    3. Continue to the next step.
    OR

    Use a manual setup key

    1. If you're using the same device for both sign-in and setup, select Trouble scanning on the Secure your account page
    2. Copy the setup key displayed on screen.
    3. Open your authenticator app.
    4. Select Add Account, Add Account Manually, or Enter Setup Key.
    5. Paste the setup key.
    6. Save the account.

     

  4. Enter the 6-digit code from your app.

    What this does: Confirms your authenticator app is working correctly.

    Why this matters: Confirms MFA is working correctly before setup is completed.

     

  5. Copy and save your recovery code in a secure location.

    What this does: Gives you another way to sign in if you can't use your authenticator app.

    Why this matters: Helps you sign in if you lose access to your device.

    ⚠️ If you don’t save your recovery code, you may not be able to access your account later.

     

  6. Select Continue to complete setup.

    What this does: Completes MFA setup for your account.

    Why this matters: Secures all future logins.

✅ MFA setup is complete.

 

Signing in with MFA

After you've set up MFA, you'll use a verification code to confirm your identity during sign-in. This extra step helps protect your account while keeping access to Beeline Enterprise simple and secure.

  1. Enter your email and password.
  2. Open your authenticator app
  3. Enter the 6-digit code from your authenticator app.
    💡 If you can't access your authenticator app, use an available backup verification method.

  4. Select Continue

✅ You’re logged in and ready to work.

 

Recovering access if you’re locked out

If you can't use your authenticator app, backup verification methods can help you regain access to your account. Use one of the options below to verify your identity and continue signing in.

Use email verification

If email verification is available:

  1. Enter your email address and password.
  2. On the verification page, select Try another method.
  3. Select Email.
  4. Retrieve the verification code sent to your email address.
  5. Enter the code.
  6. Select Continue.

✅ You'll be signed in to your account.

 

Use a recovery code

If you saved a recovery code during setup:

  1. Enter your email address and password.
  2. On the verification page, select Try another method.
  3. Select Recovery code.
  4. Enter your saved recovery code.
  5. Complete sign-in.
  6. Save the newly generated recovery code. 
    ⚠️Recovery codes are single-use. A new recovery code is generated each time one is used. Always save your recovery code in a secure location!

 

Replacing a phone or device

If you can still access your account

If you can access your account using email verification or a recovery code:

  1. Sign in to your account.
  2. Go to Settings > My Preferences > My Identity.
  3. Select Reset MFA.
  4. Confirm the reset.
  5. Complete MFA setup again on your new device.

✅ Your new device is now registered.

 

If you cannot access your account

You may need help if:

  • You lost your phone.
  • You no longer have access to your authenticator app.
  • You don't have a recovery code.
  • Email verification isn't available.

 

Contact Support

Can't use your authenticator app, recovery code, or email verification?

Contact Support if you need help signing in. After Support restores access, sign in again and complete MFA setup on your device.

✅ You'll be ready to use MFA and sign in normally again.

 

Important behavior

  • Complete MFA setup the first time it is required.
  • Verification codes expire quickly, so enter them as soon as possible.
  • Recovery codes are single-use and regenerate after each use.
  • Save your recovery code in a secure location.
  • Your device time must be accurate for verification codes to work correctly.
  • If you get a new phone, you may need to set up MFA again before your codes will work.
  • If you reset MFA, you'll need to set it up again.
  • If you can't use your authenticator app, email verification, or a recovery code, contact Support for help.
