Update project terms and financials quickly—your way, with full control and visibility

Amending a Statement of Work (SOW) in Beeline Enterprise helps keep projects aligned as requirements evolve. You can update terms, adjust financials, and route changes for vendor review—all within a structured, trackable workflow.

You have flexibility in how you manage updates. You can edit terms directly in the VMS for fast changes or use Microsoft Word–based version control for more formal review cycles. At the same time, you can update financials directly in the SOW and submit changes for approval without leaving the platform.

Why it matters

Projects change—and your SOW needs to reflect those changes accurately and quickly. The SOW amendment process gives you a structured way to manage updates and keep work moving forward.

  • Keep agreements aligned with current scope and expectations.
  • Keep financial details accurate and up to date.
  • Ensure stakeholders and vendors work from the latest version.
  • Move updates efficiently through a structured review and approval process.
  • Reduce the risk of miscommunication, delays, and rework while keeping your project moving forward.

Who it’s for

Use this process if you need to update an existing SOW and send it for vendor review. Typical users include:

  • Program Office users
  • Hiring managers and project owners
  • Client users responsible for SOW oversight

How it helps

Your Enterprise VMS supports SOW amendments with a flexible, guided experience.

  • Make updates efficiently by starting amendments directly from the project record.
  • Choose your editing approach with either in-system edits or document-based version control.
  • Manage financial changes in one place without switching tools.
  • Keep work moving by routing updates directly to vendors for review and approval.
  • Maintain clarity through structured steps and consistent workflows.

Best practices

  • Use inline editing for quick updates
  • Use version control for complex updates
  • Keep filenames consistent with version numbers
  • Save your work often
  • Use comments to track changes

How to steps

Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.

To accomplish your task, complete these steps from your Enterprise dashboard.

  1. From the Simple Search option at the upper right of your dashboard, select Search Projects, enter the project number, name, or vendor, and then select the project you want to view. A Project Profile page displays.

  2. From the Project Menu section, select Manage Project > Amend SOW. An Amend SOW dialog displays.

  3. Update required fields, and then select OK. You’re returned to the Project Profile page, and the SOW status changes to Ready to Negotiate.

  4. From the Project Menu section, select Manage Project > View Details to open the SOW.

  5. Update SOW terms by using one of the following methods:

    • To edit in Enterprise, open the Terms section, select the Edit icon, update the content, optionally lock or expand sections, add comments if needed, and then select Save.
      OR
    • To use version control, select Check-out, open the document in Word, turn on Track Changes, update the document, save the file, update the filename to match the version, and upload the file.
  6. Update financials in the SOW:

    • Open the Financials section.
    • Select the Edit icon to update existing entries.
    • Add new entries as needed.
    • Review totals in the Summary tab.
    • Select Save.
  7. Submit the amendment:

    • Select the Check mark.
    • Open the Action tab.
    • Select Send to Vendor.
    • Confirm the action, and then select Submit.

The SOW status is set to Pending Vendor Negotiation, and it’s sent to the vendor for review.
