When contingent talent unable to work, it affects the progress and eventual outcome of an assignment. Communicating and planning around those absences can be challenging, especially in a vendor-neutral environment. But not when you’re using the BTE Absence Tracking feature!
Absence Tracking provides a convenient centralized way to record, track and communicate absences and tardies. It provides prompt and timely notification about reported absences or tardiness, ensuring everyone (supplier, hiring manager and your program office) is informed. Plus, Absence Tracking gives contingent talent a convenient way to report known extended absences and eliminates empty timesheets to account for absences.
Absence Tracking also documents why a contingent talent was absent or tardy on an assignment. Clients and program office users can leverage the Assignment Absence Tracking Base Report to review a contingent talent’s overall attendance. Absences and tardies are excluded from timesheet data and reports unless the selected absence type is set up to allow a zero-hour timesheet.

Getting started
Contingent talent initiate absence tracking by selecting the Manage Absences button on a timesheet. A Report Absence dialog displays. Next, select Absence or Tardiness from the Type list, choose an explanation from the Pick a Reason list, indicate dates using the Calendar, and then select Submit.
TIP: You cannot update multiple weeks as absence unless all hours/units are zero entries. You also cannot update or override existing data in a timesheet. Absences and tardies don’t display in BTE on a timesheet as a line item unless the selected absence type is set up to allow a zero-hour timesheet.
The assigned Timesheet Approver receives a dashboard notification to evaluate the absence or tardiness as favorable or unfavorable based on the Pick a Reason selected.
Hiring managers, program office users and suppliers can also initiate absence tracking using the link under More Options on the Assignment Details page and get to the same Report Absence dialog.
Users can edit an absence or tardiness before it has been reviewed and evaluated by the assigned Timesheet Approver. Select the View All Absences tab on the Report Absences dialog to make changes. Once an absence or tardiness is reviewed and evaluated, it cannot be changed.
Action required
Adding Absence Tracking requires a Make a Change ticket and Enterprise configuration. Once the feature is added, your Client Administrator or program office user, can define explanations that display in the Pick a Reason list available from the Report Absence dialog.
Absence Tracking is a feature of BTE, which is a component of the Contingent Staffing and Services Procurement modules available with your Beeline Enterprise.
