Submit expense vouchers using the appropriate currency for reimbursement and approval

Submit reimbursable expenses using the currency that applies to your assignment or business activity. When alternate voucher currencies are enabled for your program, you can select the appropriate currency, record your expenses, and submit the voucher for approval.

Why it matters

  • Submit expenses using the currency that applies to your assignment or business activity.
  • Improve the accuracy of expense reviews and reimbursements.
  • Avoid delays caused by incorrect voucher currency selections.
  • Maintain consistent currency information throughout the approval process.
  • Support expense submissions across multiple countries and currencies.

How it helps

  • Lets you select a supported currency when creating an expense voucher.
  • Applies the selected currency to all expense entries in the voucher.
  • Displays voucher information using the selected currency.
  • Supports one currency per expense voucher.
  • Lets you use different currencies across separate expense vouchers when needed.

Availability and setup

The ability to select a voucher currency depends on your organization's configuration.

If a Currency field is available when creating an expense voucher, you can select a supported currency for the voucher. If a Currency field isn't available, expense vouchers use the default currency configured for your program.

Multi-currency scenarios

Depending on your organization's configuration, you may be able to create expense vouchers using:

  • The assignment currency.
  • A local currency associated with business travel or services.
  • Another supported program currency.

When you select a voucher currency:

  • The selected currency applies to all expense entries in the voucher.
  • The selected currency remains associated with the voucher throughout the approval process.
  • Currency-specific information may be displayed as you complete the voucher.

Submitting an expense voucher in a selected currency

Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.

To accomplish your task, complete these steps from your Enterprise dashboard.

As a contractor, use this procedure to record reimbursable expenses associated with your assignment. Create an expense voucher, add expense entries, attach supporting documentation, and submit the voucher for approval.

Important

Each expense voucher supports a single currency. If you need to submit expenses in different currencies, create separate expense vouchers.

Check your organization's expense and documentation requirements before submitting an expense voucher.

  1. Log in to Beeline Enterprise. Your Home page displays showing the timesheet entry view.
  2. Select Expenses to switch to the expense entry page.
  3. Click into the field next to Search and select Create New Voucher.

A new expense voucher opens and displays assignment information, such as the assignment name, date range, hiring manager, approver, and cost center.

  4. Enter a value in the Purpose field.

What this does: Records the business reason for the expenses.

Why this matters: Approvers may use this information when reviewing the voucher.

  5. Optional. Select Upload Attachment and add receipts or supporting documentation.

What this does: Attaches receipts and other documents to the voucher.

Why this matters: Your organization may require supporting documentation before approving expenses.

  6. Select a value from the Currency list.

What this does: Sets the currency used for all expense entries in the voucher.

Why this matters: Each voucher supports only one currency.

In simple terms: You're choosing the currency for the entire voucher, not for individual expense entries.

TIP: Available currencies may vary based on your organization's configuration.

  7. In the Expense Entry section, complete the required fields:
    • Date
    • Description
    • Expense Type
    • Cost Center, if applicable
    • Amount
  8. Select Add Entry.

What this does: Adds the expense item to the voucher.

Why this matters: Expense entries aren't included in the voucher until they're added.

  9. Repeat steps 6 and 7 until you've added all expense entries.

TIP: You can add as many expense entries as needed to the same voucher.

  10. Review the completed voucher. Verify:
    • Expense amounts are accurate.
    • The voucher total is correct.
    • Required receipts are attached.
    • All expense entries have been added.

TIP: Use the edit or delete icons next to an expense entry to make changes before submission.

  11. Choose one of the following actions:
    • Select Save Changes to save the voucher and complete it later.
    • Select Submit for Approval to send the voucher for review.

What this does: Saves the voucher or routes it to the approver.

Why this matters: Submitted vouchers enter the approval process and can no longer be treated as draft entries.

  12. Track the voucher status using the voucher selector at the top of the page. You can review information such as:
    • Voucher status
    • Total amount
    • Purpose
    • Voucher dates

What happens next?

After you submit the voucher, it is routed to the designated approver for review. As the voucher moves through the approval process, the displayed status updates to reflect its current state.
