Prerequisites

Before using the DocuSign integration, your organization must:

  • Have a valid Cloud Agreement with Beeline.
  • Access Beeline Enterprise as an Auth0® user, either through SSO or non-SSO authentication.
  • Maintain a valid DocuSign account if using the integration for Services Procurement.
  • Set up and maintain the DocuSign account associated with your organization.
  • Have access to the DocuSign-generated connect key required for eSignature configuration.

Set up the integration

Integrating DocuSign with multiple Enterprise workflows requires Enterprise configuration and applicable permissions granted to your designated Enterprise system admin to set up and manage your DocuSign integration.

If you plan to use DocuSign with Talent Management workflows, those workflows must be configured to support document generation, routing, and signature collection.

If you plan to use DocuSign with Services Procurement, your implementation must include the SOW negotiation phase.

Contact your Client Operations Manager (COM) or Relationship Manager (RM) for assistance with activation and configuration requirements.

 


Services Procurement

Use DocuSign with Services Procurement to electronically sign finalized Statements of Work and move completed agreements efficiently through your project lifecycle.

How it helps

  • Store completed SOW agreements in Enterprise for ongoing access.

How it works

  1. Create and submit an SOW for approval.
  2. Build terms, financials, and milestones.
  3. Complete negotiations with the supplier.
  4. Designate a Client Signer and Supplier Signer.
  5. Submit the SOW for Final Approval.
  6. Enterprise generates a PDF version of the SOW and sends it to DocuSign.
  7. Designated signers review and sign the document in DocuSign.
  8. The completed SOW is stored in Enterprise and advances through the project creation process.

Understand the envelope lifecycle

As an SOW progresses through the signing process, the DocuSign envelope moves through several stages.

Stage Description
Envelope Created The SOW is submitted for Final Approval and sent to DocuSign.
Awaiting Supplier Signature The Supplier Signer is notified and must sign first.
Awaiting Client Signature After the supplier signs, the Client Signer is notified.
Completed All required signatures have been collected and verified.
Declined A signer rejects the document.
Voided The envelope is canceled before signing is completed.

The designated Client Signer and Supplier Signer remain associated with the envelope throughout the signing process. If a signer must change after the envelope has been created, follow the approved signer-change process.

Manage SOW signers

Designating the appropriate Client Signer and Supplier Signer is an important part of the SOW approval process. Understanding how signers are assigned and how signer changes must be handled can help prevent delays and ensure the integration functions as expected.

Role-based signer permissions

Signer fields remain editable until the SOW reaches Pending Final Approval.

Designated signers

The Services Procurement DocuSign integration supports one Client Signer and one Supplier Signer.

The designated Client Signer and Supplier Signer are the individuals expected to complete the DocuSign signing process.

Designated signers can be changed until the SOW reaches Pending Final Approval and are required before an SOW can be sent for Final Approval.

Change a signer after submission

Once an SOW has been sent to DocuSign, signer changes should not be made through recipient reassignment or similar DocuSign functionality. Doing so may create a mismatch between the signer designated on the SOW and the individual who signs the document, which can prevent the approval process from completing successfully or cause other unexpected behavior.

If a signer must change after the SOW has been submitted for final approval:

  1. Void the existing DocuSign envelope.
  2. Allow the SOW to return to Negotiation.
  3. Update the Client Signer or Supplier Signer on the SOW.
  4. Resubmit the SOW for Final Approval.

Following this process helps keep Enterprise and DocuSign synchronized throughout the approval cycle.
