Create and manage the workflow type, the content, and the recipients of email notifications. Notification updates include; Subjects, Body Header, Body detail, Body Footer, and even Attachments. The body of each notification template will allow for recipient visibility control as well. This means that you will have one template that will allow or remove fields as needed.

  • Full control over the entire content of the notification.

  • Ability to control visibility of content by recipient.

  • Preview capabilities show what the end user will see.

  • Ability to create culture specific overrides for notification content.

Tips

  • Advanced Notification Templates do not change workflows or workflow step logic and only update

    notifications.
  • Updates do not affect email digest.

  • Custom Code is not supported.

  • For approval, type workflows the details of the approval will be the same on the dashboard as it is for the email notification.

How to steps

Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.

Creating a new template 

To accomplish your task, complete these steps from your Enterprise dashboard.

  1. Select Preferences VMS Settings Client Communications. A Client Communications page displays.

  2. Select Advanced Notification Templates. An Advanced Notification Template List page displays.

  3. Select Add New.

  4. Fill out the following fields:

    • Name: Fill out the name of the notification

    • Description: Add a description to better identify the notification.

    • Active: Uncheck the field if you do not want the notification to be visible.

    • Core Entity Type: Click the dropdown field to select the Core Entity Type. (Assignment, Expense, Group Request, and Timesheet).

      • If Core Entity Type is populated, the following additional sections will open up:

        • Associated Approval Step:

          1. Click Add Item

          2. Select the Approval Step from the list of options.

          3. Once redirected back to the Associated Approval Steps section, Click the box next to the approval step if you want to display approval history in the notification.

          4. Select the Recipient (Client, Supplier, MSP) from the available dropdown options.

        • Templates: Allows you to click the checkbox if it is a High Priority Email.

          • Subject: This section defines the subject for the email. If you would like to use fields in the subject simply use the code of the field in brackets, ex {Code}. Field Codes are found in the section, Body Template Field Visibility (Please Note: For approval type workflows, the subject of the approval will be the same on the dashboard as it is for the email notification.)

            1. Click Add Item.

            2. Select the culture from the dropdown field and enter the subject of your notification in the free text field.

        • Body: This section defines the body for the email. If you would like to use fields in the body simply use the code of the field in brackets, ex {Code}. Field Codes are found in the section, Body Template Field Visibility.

          1. Click Add Item.

          2. Select the culture from the dropdown field and enter the body of your notification in the Body Header free text field.

        • Body Template Field Visibility: This section allows you to select the fields you would like visible on the notification. You can enter the display order and check the box for which roles you want the field visible to (Client, Supplier, MSP).

        • Conclusion: This section defines the conclusion for the email. If you would like to use fields in the conclusion simply use the code of the field in brackets, ex {Code}. Field Codes are found in the section, Body Template Field Visibility.

          1. Click Add Item.

          2. Select the culture from the dropdown field and enter the conclusion of your notification in the Body Header free text field.

  5. Attachment: You can select an attachment to appear on the notification.

  6. Select OK to Save and return to the Advanced Notification Template List page or select Save and Add New to add an more notifications.

Editing a notification

To accomplish your task, complete these steps from your Enterprise dashboard.

  1. Select Preferences VMS Settings Client Communications. A Client Communications page displays.

  2. Select Advanced Notification Templates. An Advanced Notification Template List page displays.

  3. Click into the Name link. The View Advanced Notification Template page displays.

  4. Select Edit to open up fields.

  5.  

    Optional. Select Preview to view the text version.

  6. Click the drop-down template field to select Body HTML to see what the notification will look like to your users.

  7. Select Preview.
