Many organizations have recurring and/or single miscellaneous fees associated with active assignments that aren’t related to an expense report or a timesheet. For example, your organization might reimburse your supplier for the cost of a background check or pay your Supplier a conversion fee when a resource is converted from a contractor to a full-time employee.

Those types of miscellaneous fees aren’t processed through Beeline Enterprise using an expense report or a timesheet. Typically, suppliers are reimbursed for those expenses via a miscellaneous fee manually added to each assignment.

The Miscellaneous Fee feature lets you add individual fees and supporting attachments and automate recurring fees not related to an expense report or a timesheet on active assignments. You can also quickly import miscellaneous fees associated with active assignments using a Microsoft Excel® file and Beeline’s Assignment Misc Fees Template

You use the Miscellaneous Fee feature to complete these tasks:

  • Retain tax and fee options associated to a miscellaneous fee on your recurring fees. Adding a recurrence schedule does not affect or/change how taxes and fees are applied.
  • Track and monitor miscellaneous fees in the Misc Fee Report.

Managing miscellaneous fees from Enterprise , requires a Make a Change ticket and Enterprise confirmation. In addition, your Client Operations Manager (COM) must make sure applicable users have permissions to manage and import miscellaneous fees.

Optional features

If your organization chooses to use the Miscellaneous Fee component, you can also use them with these Beeline features in your Enterprise. These additional features supported with the Miscellaneous Fee component require configuration.

Feature Description
Approval Central Users can approve submitted miscellaneous fees from this component.
Cost Allocation

Organizations frequently split and invoice assignment spend across multiple cost centers for various reasons. With the Cost Allocation feature, users can distribute assignment spend to different cost allocations and define the percentage of an expense that gets charged to a specific accounting unit or company.

Cost allocation units can be modified when a miscellaneous fee is created or when the fee is approved.

Purchase Order (PO)

Many organizations use a PO to track transactions between themselves (the Client) and their Suppliers. A PO is a contract that outlines services provided and expectations about how services and deliverables are produced.

Using POs provide detailed records for invoicing, auditing and financial statements. In addition, using POs can help diminish disputes about payment or services between the client and supplier.

Your Beeline platform can be configured to create and store POs in Beeline for invoicing and reporting. A Purchase Order Number field can also display when a user is creating a miscellaneous fee, so fees are correctly associated with a PO and invoiced through your Beeline platform.

Security Projects

Security Projects can be used by organizations to drive their internal business processes. Security Projects can be used to track time and expense, cost allocations, and other business activities.

Your Beeline platform can be configured so the name and/or number of a security project can be added when a user is creating a miscellaneous fee.

 

Unsupported features

If your organization chooses to use the Miscellaneous Fee component, you will experience limitations with these Beeline features in Enterprise. These features are not supported when your organization is using the Miscellaneous Fee component.

Feature Description
Beeline Time & Expense (BTE) Users cannot associate or select a BTE Project or a BTE Project Task when creating a miscellaneous fee.
Client defined fields Client-defined fields (CDFs) are not supported with the Miscellaneous Fee component.
