Manage financial information across multiple currencies

Use Currency Exchange to view converted values, compare financial data across currencies, and support multi-currency workforce processes.

Currency Exchange is a multi-currency feature that helps your organization work with financial information across supported currencies. It includes several capabilities, such as Currency Conversion, Preferred Currency, formatted currency display, multi-currency candidate submissions, expense currency selection, and reporting support.

Your organization can use Beeline-provided exchange rates or import its own exchange rate data. When Preferred Currency is enabled, you can view eligible rates and financial information in your preferred currency.

Why it matters

  • Gain better visibility into global workforce costs.
  • Compare financial information more consistently across currencies and regions.
  • Reduce the need for manual currency calculations.
  • Analyze rates, expenses, and spend more effectively.
  • Interpret financial information using currencies that are meaningful to you.
  • Compare spend and financial data using a common reporting view.

Who it's for

Currency Exchange is most valuable for organizations that manage workforce programs across multiple countries and currencies, including:

  • Program, operations, and financial teams
  • Suppliers submitting candidates in multiple currencies
  • Contractors submitting expenses in local currencies
  • Stakeholders reviewing multi-currency workforce data

Common multi-currency scenarios

You may use Currency Exchange when:

  • A supplier wants to be paid in a different currency than the request currency.
  • Users need to compare candidates submitted in different currencies.
  • Contractors submit expenses using local currencies.
  • Financial teams analyze spend across multiple countries.
  • Program managers compare rates using a common reporting currency.

How it helps

  • Lets you view equivalent values across supported currencies.
  • Lets you view eligible financial information in a preferred currency.
  • Lets suppliers submit candidates using alternate currencies when enabled.
  • Lets contractors submit expense vouchers using a selected currency when enabled.
  • Displays currency-specific symbols and formatting throughout supported areas of the application.
  • Makes it easier to compare financial information in reports using converted values and normalized rates.

Availability and setup

Currency Exchange is not available by default. A Service Request is required to enable the feature and any related multi-currency capabilities before users can access them.

Before you begin

Before using Currency Exchange, review how your organization works with multiple currencies and identify where currency conversion can improve visibility, reporting, and financial analysis.

Consider:

  • Supported currencies across your organization
  • Business processes that require currency conversion
  • Users who work with multiple currencies
  • Reporting and financial analysis needs that rely on converted values

Choose an exchange rate source

Your organization can use one of the following exchange rate sources:

Option Benefit
Beeline exchange rates

Exchange rate data maintained by Beeline and refreshed automatically.

  • Currency conversion
  • Preferred Currency
  • Formatted currency display
  • Multi-currency candidate submissions

  • Currency conversion reporting

Understand the impact of currency conversion

Before implementing Currency Exchange, understand how currency conversion may affect:

  • Financial calculations
  • Spend analysis
  • Reporting results
  • Cross-region comparisons
  • User experiences throughout the application

Understanding Currency Exchange

Learn how exchange rates, Currency Conversion, and Preferred Currency work together to support multi-currency workforce programs.

For example, a rate entered in EUR can be displayed as an equivalent value in USD using available exchange rates.

Understanding exchange rates

Exchange rates provide the foundation for Currency Exchange capabilities.

Exchange rate data is used whenever financial information needs to be displayed, converted, or reported in another currency.  Your organization can use:

Exchange rate source Description
Beeline exchange rates Exchange rate data provided and refreshed by Beeline once per day.
Client-supplied exchange rates

Exchange rate data provided and maintained by your organization.

How exchange rates work

  1. Exchange rate data is loaded into the Currency Exchange Rate table.
  2. The data comes from either Beeline-provided exchange rates or client-supplied exchange rate imports.
  3. When converted values are displayed, stored exchange rates are used to calculate the conversion.
  4. Converted values display in supported areas of the application and reporting.

Note: Currency Conversion and Preferred Currency values are displayed only when exchange rate data is available for the currencies involved.

Understanding Currency Conversion

Currency Conversion helps you make more informed decisions when working with financial information in multiple currencies.

Instead of manually converting values, you can view equivalent amounts using the exchange-rate data configured for your program. This makes it easier to compare rates, expenses, spend, and reporting data across countries and currencies.

You may encounter Currency Conversion when reviewing:

  • Candidate submissions
  • Assignments
  • Expense vouchers
  • Spend analysis
  • Reports

Example

A request is created in EUR, but you need to compare it to other information reported in USD. Currency Conversion displays the equivalent USD value so you can review both amounts using a common currency view.

Understanding Preferred Currency

Preferred Currency helps you understand financial information in a currency that's familiar to you.

If you work with requests, assignments, budgets, or spend from multiple countries, Preferred Currency makes it easier to interpret financial information without manually converting values.

Depending on where you're working in the application, you may see rates, costs, spend, budgets, funds, and available funds displayed in your preferred currency.

Viewing information in your preferred currency doesn't change:

  • The original transaction currency
  • Approval processes
  • Financial calculations

In some areas of the application, you may see both the original currency value and the equivalent value in your preferred currency. This allows you to compare the values side by side while still seeing the original amount.

TIP: If your preferred currency matches the original currency, you'll see only the original currency value.

Example

A request rate is stored in EUR, but your preferred currency is USD. Preferred Currency displays the equivalent USD value so you can review the information in a currency that's meaningful to you. Depending on the page you're viewing, you may see both the original EUR value and the equivalent USD value.

Using currency conversion in reporting

Organizations often store financial data in multiple currencies. Without Currency Conversion, comparing rates, spend, and financial data across regions can be difficult.

Currency Conversion helps standardize supported financial data using a common currency view so you can compare values more consistently across assignment, request, and other supported reporting data.

You can:

  • Convert rates to a specified currency.
  • Normalize rates to common rate units, such as hourly rates, so rates that use different units can be compared more consistently.
  • Compare financial data across currencies and rate structures.
  • Analyze spend using a common reporting currency.
  • View original values, converted values, or both when supported.

Important

Converted values are based on the exchange rate data available in the system.

Depending on the report configuration, you may see:

  • Original values
  • Converted values
  • Both original and converted values

When both values are available, you can compare the original amount with the converted reporting amount in the same report.

Supported reports may include both native-currency fields and converted-currency fields, allowing you to compare original values alongside converted values in the same report. Depending on the report type and configuration, additional currency-related fields may also be available.

TIP: In some reports, leaving the reporting currency unchanged may display values in their native currencies rather than a converted reporting currency.

Understanding reporting behavior

Understanding how Currency Conversion works in reports can help you interpret reporting results more accurately.

  1. Each report value is associated with a source currency.
  2. Available exchange rate data is referenced when Currency Conversion is applied.
  3. Eligible values are converted to the reporting currency when applicable.
  4. Results can be reviewed and compared using a consistent currency view.

Example

Original amount Source currency Reporting currency Converted amount*
1,000 USD USD 1,000 USD
1,000 EUR USD 1,085 USD
1,000 GBP USD 1,270 USD

*Example values are provided for illustration only.

In this example, EUR and GBP values are converted to USD so you can compare all amounts using a common reporting currency. Converted amounts are calculated using the exchange rate data available when the conversion occurs.

Reporting considerations

  • Converted values depend on available exchange rate data.
  • Different exchange rate sources may produce different converted values.
  • Available Currency Conversion fields vary by report.
  • Some reports display both original and converted values to help compare source and converted amounts.
  • Values displayed on requests and assignments may change as exchange rates change.
  • Some reports may use the exchange rate that was active when the related transaction or invoice was processed.
  • If exchange rate data is unavailable for a currency combination, converted values may not display.
  • Depending on the report configuration, additional currency-related fields may be available to identify the currency associated with reported values.

Frequently asked questions

Will Currency Conversion change the original currency value?

No. Currency Conversion displays equivalent values while preserving the original currency value.

Why don't I see every available currency?

The currencies available to you depend on your organization's configuration and the business process you're completing.

Will I still see the original currency value when Preferred Currency is enabled?

In some areas of the application, you may see both the original currency value and the equivalent value in your preferred currency. How values are displayed depends on the page and your organization's configuration.

Can suppliers submit candidates using a different currency than the request currency?

Yes. When enabled, suppliers can submit candidates using a currency different from the request currency.

Can an expense voucher contain multiple currencies?

No. Each expense voucher supports a single currency.

Why do converted values differ or not display in reports?

Depending on the report configuration, reports may display original values, converted values, or both.
