Before you begin

  • Ensure that Template-Based Document Automation has been enabled for the workflow.
  • Confirm that the workflow includes the required eSignature approval steps.
  • Identify the templates that should participate in automated processing.
  • Configure Default Signatory Information for applicable templates.
  • Identify which signatories should be assigned automatically.
  • Validate template and workflow configuration in a non-production environment before deployment.

Understand document packages

A document package contains the documents, signatories, and signing order used in a single eSignature transaction. Use document packages to organize related documents and signatories. You can use one or more document packages depending on template configuration and business requirements.

Component Purpose
Documents Define what requires review or signature.
Signatories Identify who receives the documents.
Signing order Determines the sequence in which signatories take action.

 

Understand Default Signatory Information

Use Default Signatory Information to associate signatory roles with a template. These assignments can automatically populate signatories during document package generation.

The Default Signatory Information section includes role selections and signing-order fields. 

Available signatory roles

Role Use when
Client A client representative should review or sign the document.
MSP An MSP representative should review or sign the document.
Resource A candidate or contingent worker should review or sign the document.

Understand signing order

Use the Signing Order field to define the sequence in which signatories complete their actions. Lower-numbered values are completed before higher-numbered values.

Important

When Auto Dispatch eSignature Handling is turned on, only templates set up with signatory roles display during eSignature initiation or document package generation.

 

Understand template behavior

The eSignature experience varies based on template configuration.

Template configuration Result Recommended use
Includes Default Signatory Information You can use template-based signatory assignment. Use when signatory responsibilities are predictable and repeatable.
Does not include Default Signatory Information You must assign signatories manually. Use when signatory requirements vary by situation.
Includes ad hoc or standalone documents You must assign signatories manually. Use when documents or recipients differ from the standard process.

Configure Default Signatory Information only when signatory responsibilities are predictable and repeatable. When signatory requirements vary, use manual signatory assignment.

To accomplish your task, complete these steps from your Enterprise dashboard.

Review a document package

Use this process when a workflow reaches a configured eSignature step.

  1. Open the Manage eSignature task.

  2. Open the approval record.

  3. Select Complete eSignature Setup. A Manage eSignature Documents dialog displays.

    What this does: Opens the document package review experience.

    Why this matters: This is where you review documents, signatories, and signing order before completing the approval.

    In simple terms: You're reviewing the package before moving the workflow forward.

  4. Review the documents included in each document package.

  5. Review the assigned signatories.

  6. Review the signing order.

  7. Select Confirm if no changes are required.

    What this does: Saves the document package and completes the approval step.

    Why this matters: The workflow can't continue until the package is confirmed.

Modify a document package

Use edit mode when documents or signatories require updates.

  1. Select Manage Documents. The dialog switches to edit mode.

    What this does: Allows you to update package contents and signatories.

    Why this matters: Some workflows require adjustments before documents are processed.

  2. Review the package configuration.

  3. Add, remove, or update documents as needed.

  4. Add, remove, or update signatories as needed.

  5. Update the signing order if necessary.

  6. Select Save Changes. The dialog returns to read-only mode.

    What this does: Saves your updates and returns the package to review mode.

    Why this matters: Reviewing changes before confirming helps ensure the correct documents and signatories are included.

  7. Review the updated document package.

  8. Select Confirm.

Add a document package

Use multiple document packages when different groups of documents require different signatories or signing sequences. 

  1. Open the Manage eSignature Documents dialog.

  2. Select Add Document Package. A new document package displays.

    What this does: Creates an additional grouping of documents and signatories.

    Why this matters: Different documents may require separate signatories or signing sequences.

    In simple terms: You're creating another package of documents and signatories.

  3. Add the required documents.

  4. Configure the required signatories.

  5. Select Save Changes.

Understand signatory selection behavior

Available signatory options depend on your role.

User type Available signatory organizations
Program office user Client, MSP, Resource, Supplier, External
Supplier user Resource, Supplier, External

Additional signatory rules

  • Duplicate signatories aren't allowed.
  • A resource can be added to a document package only once.
  • External signatories require manual entry.
  • Signatory names and email addresses are required before changes can be saved.

Understand validation rules

Rule Description
Document requirement At least one document is required.
Signatory requirement At least one signatory is required.
Document limit Maximum of 10 documents per package.
Signatory limit Maximum of 10 signatories per package.
Package size limit Maximum package size is 20 MB.
Duplicate prevention Duplicate signatories and duplicate signing orders aren't allowed.
Template eligibility

Warning messages display when no eligible template contains configured signatory information and manual signatory setup is required.
