Report Access

NOTE: Publishing reports gives the Program Office Admins the ability to create and distribute to other Client Users. It is important to use the same Base Report when publishing to ensure that as fields are added they will filter from the same Base Report to your newly Published Report. This is the art of Overriding Reports. It eliminates confusion, provides cleaner report maintenance, and controls which reports are visible. It is important to make sure when creating an Instance that you rename the report. This ensures that duplicate reports are avoided.
Manage Reports
Client access to manage reports is directly from the report and then click Edit Rights. In Manage Reports, there are five levels of “access” to reporting based on the User Role. These include View, Create, Overwrite, Admin, and Denied as described below.
| View | Allows the user to create reports and save them as favorites. ♦ Personas: Hiring Managers and Suppliers |
| Create | Allows the user to publish a new report that is available in the Report Gallery. Otherwise, this is similar to the View access, although users do not have Overwrite capabilities. ♦ Personas: Program Office Reps (i.e., Staffing Specialists and MSP/VMO) |
| Overwrite | Allows the user to update and/or revise an existing report after it is created and visible in the Report Gallery. ♦ Personas: Program Office Admins (i.e., MSP/VMO Admin) |
| Admin | Indicates the highest access level that a Role can be granted. It includes all of the same capabilities as Overwrite; however, it also grants visibility to reports via Manage Reports. Access is granted with completion of Level II Certification and is reserved for “Client Specific” versions only. ♦ Personas: Program Office Certified users (i.e., Sub Role – Program Office) |
| Denied | Used in two instances; one, where users are denied access to reports in the Gallery; and two, where a permission is tied to a report and that permission cannot be removed from a specific Role. NOTE: If a user is assigned multiple roles and only one of those roles is DENIED; then, they will NOT be able to see the report regardless of their other Roles. DENIED supersedes any other access granted to any other Role. ♦ Personas: Any user who should not have access to a report. |
