The Resource Matching feature is automatically available in the Contingent Staffing, Services Procurement and Resource Tracking modules in Beeline Enterprise. The standard Resource Matching dialog automatically displays at steps in those workflows. Your program can choose to enrich your experience with an Enhanced Resource Matching dialog or Resource Matching Intelligence (RMI).

Which dialog displays by role and configuration
Because suppliers and program office users interact with candidates at different points in the workflow, each role sees a different match dialog—tailored to the decisions you need to make.
What you see depends on your role and your organization’s configuration:
- Standard Resource Matching: The standard experience for all users. It displays automatically and requires no setup.
- Enhanced Resource Matching: Requires configuration and the Base AI package. It gives you a cleaner, more streamlined view of match details while following the same rules as the standard dialog.
- Resource Matching Intelligence: Requires configuration and the Premium AI package. It adds similarity scoring and ranked matches to help you identify the right record faster and with greater confidence.
Knowing which dialog you use—and how to act on the information it provides—helps you avoid duplicates, maintain consistent identifiers, and keep your program data accurate, compliant, and reliable across every workflow.

What you see
The Resource Matching dialog displays when the system detects a potential duplicate record at the moment you add or review a candidate. It gives you immediate clarity so you can avoid rework and maintain consistent Beeline IDs—all essential for accurate onboarding, tenure tracking, invoicing, and compliance.
What you see when the dialog appears depends on your role.

Guidelines
- Suppliers must follow the program’s formatting rules for names and Initial Personal ID to ensure accurate matching.
- You cannot proceed in any workflow until a match is resolved. Attempting to bypass a match by canceling incorrectly results in an error.
- Suppliers cannot select a match to link it; only program office users have linking authority
- DNR records block candidate qualification. Program office users must disqualify.
- Matching does not automatically correct existing duplicate resource records; manual corrections are required.
How to steps
As a program office user, Resource Matching helps you keep records clean by showing all candidates ever submitted.
TIP: Candidates with usernames have been onboarded to assignments in Enterprise.
When you select an existing match and proceed with qualification, the system updates the Beeline ID across the Resource and Security User records—ensuring accurate, consistent data.
Information in this article reflects a standard Enterprise configuration. Your Enterprise platform is based on your organization’s configuration. Settings and/or data visibility rules may vary slightly from what is described.
Quick start steps
- Open the submitted candidate in the workflow.
- Select Show matching candidates.
- Review potential matches across suppliers.
With RMI, reference the similarity score and match order to assist in selecting the correct profile. - Take one of the following actions:
- Select a match → OK when the matched profile represents the same individual. This updates the Resource and Security User records so the Beeline ID remains consistent.
- Cancel → Disqualify if an exact duplicate exists (same supplier & industry).
- Continue Adding Resource if none of the matches are correct.
- Select match → OK → Disqualify for DNR cases.
Step-by-step
When you submit a candidate and a potential duplicate is detected, the Resource Matching dialog displays so you can review and confirm the correct record. The layout may vary by your organization’s configuration, but the steps are always the same: review the matches, select the correct record (or confirm there isn’t one) and resolve the match before continuing.
Dialog versions differ in how much help they provide:
- Legacy shows the basic match list.
- Enhanced offers a clearer, streamlined layout.
- RMI adds similarity scoring and ranked matches for faster decisions.
Regardless of which version you see, resolving the match at this step keeps your data accurate and compliant.
To accomplish your task, complete these steps from your Enterprise dashboard.
- From the My To Do List, select the You have # new Resumes awaiting review link. The Candidate Review Tool displays.
- From the Actions menu, select View Task. The Candidate Submitted to Client page displays.
- Select the Show Matching Candidates link. The Matching Resources dialog displays.

Resource Matching Intelligence - Take one of these steps based on the results that display in the Matching Resources dialog.
Caution: When a match is found, you cannot continue to qualify the candidate. If you attempt to select Cancel to bypass the match, an error message displays.
- When you don’t find an exact match, select Continue Adding Resource. You’re returned to the Candidate Submitted to Client page.
- Select Qualify from the Candidate Submitted to Client page.
OR
- When a potential match is found but the supplier or the industry the resource is associated with are different, select the matching candidate.
TIP: You may see more than one potential match when a resource is associated with two suppliers or multiple industries. If resource matching was correctly done when the resource was added, the Beeline ID will be the same.
- Select OK. The Candidate Submitted to Client page displays. The resource profiles are linked, and the Beeline ID is updated in the Resource and the Security User records to match the candidate you’re submitting.
- Select Qualify from the Candidate Submitted to Client page.
- Optional. If the resource you select is flagged as Do Not Rehire (DNR), a Warning displays. Select OK in the Warning dialog and then complete these steps.
- Select Disqualify Candidate. The Candidate Submitted to Client - Disqualify dialog displays
- Select an explanation from the Reason list.
- Use the Comments field to instruct the supplier to resubmit the candidate using the existing resource profile to prevent duplicate profiles.
OR
- When you’re certain an exact match was found (same person, same industry, same supplier), select Cancel. The Candidate Submitted to Client page displays.
- Select Disqualify Candidate. The Candidate Submitted to Client - Disqualify dialog displays
- Select an explanation from the Reason list.
- Use the Comments field to instruct the supplier to resubmit the candidate using the existing resource profile to prevent duplicate profiles.
- Continue processing the candidate according to your program’s business processes and workflow requirements.
