Prerequisites

Your organization must meet these requirements before you can use the DocuSign add-on.

  • Have a valid Cloud Agreement with Beeline, which may require amending your Beeline contract. Contact your Client Operations Manager (COM) or Relationship Manager (RM) if you have questions.
  • Access Beeline Enterprise as an Auth0® user, either single sign-on (SSO) or non-SSO.
  • If you’re using DocuSign with your SOW feature, you must have a contract with DocuSign and a valid DocuSign account for SOW agreements. Contact your COM or RM to find out what’s involved and how to proceed.
  • Set up and maintain your DocuSign account.
  • Have access to the DocuSign-generated connect key to set up eSignature settings for your organization.

Action required

Integrating DocuSign with multiple Enterprise workflows requires Enterprise configuration and applicable permissions granted to your designated Enterprise administrator to set up and manage your DocuSign integration.

If you’re integrating DocuSign with your candidate and assignment workflows, those workflows must be set up to support the integration.

If you’re integrating DocuSign with your SOW feature, you must include the SOW negotiation phase in your Services Procurement module.

About the service procurement integration

Enterprise’s Services Procurement module transitions data simply, helping your users easily shift from competitive bid to statement of work (SOW) and from SOW approval to project management. The module aligns with your organizational processes, mitigates risks and serves as a single Version of Truth (SVOT) for your sourcing events—so you can effectively source, negotiate and manage all kinds of project-based initiatives. Plus, the SOW feature in that module provides numerous options to help your organization draft, negotiate and finalize contracts and budgets on your terms.  

You can simplify the complex contractual relationships, processes and varied ownership of project-based services by integrating DocuSign into the SOW negotiation phase in your Services Procurement module. Then you can use eSignature with your SOW feature to manage your SOWs.

How your integration works with your SOW approvals

As an SOW flows from a competitive bid to a statement of work (SOW) to SOW approval, your contracts most likely follow a process like this workflow.

  1. Initiate, create and submit your SOW for initial approval using your SOW feature.
  2. Build out terms, financials and milestones using your SOW feature.
  3. Settle negotiations with your supplier from the SOW feature.
  4. Designate the representatives responsible for reviewing, approving and signing an SOW using the Client Signer list on the Client Information tab and the Supplier Signer list on the Vendor Information tab on the General Info page.
    TIP:     Client contributors can designate the client signer and supplier contributors can designate the supplier signer. MSP contributors can designate both types of signers. Designated signers can be changed until the SOW reaches a Pending Final Approval status. Designated signers are required before an SOW is sent for final approval.
  5. Finalize and submit an SOW for final approval using your SOW feature. A PDF of your SOW is sent to DocuSign.
  6. Emails are sent from DocuSign to the designated client and supplier signers informing them the SOW is ready to review and sign in DocuSign. Select the link in the email from DocuSign to initiate the signing process.
  7. Suppliers and client representatives use DocuSign and eSignature to sign, manage signatures and finalize the SOW.
  8. After both client and supplier representatives have signed the finalized SOW, emails are sent from DocuSign to the designated client and supplier signers so they can view the signed SOW.
  9. Your final SOW is stored in Enterprise, moved to a Pending Project Creation status and promoted to a project.
